Common Uses

  • Add a category called Most Used and then drag the presentations that you present the most into that category so that you can find them immediately when you need to give them.
  • Distinguish between multiple versions of presentations by adding the final revision to a folder called Final Presentations.
  • When giving multiple presentations to a specific client, create a category with the name of that client and drag all of the presentations to that category.
  • Create folders for each Year or Quarter to organize your presentations by date for quick reference. To speed things up, sort by date modified and then select an entire range at a time to drag to each category.
  • If you have presentations that do not use much animation in each slide, try using the new slide presenter to play your presentations with a new compelling look.


  • How do I use it?

    Running the software for the first time.
    The first time PresentationMANAGER launches, the Scan Wizard will run an initial scan for presentations located in the ‘My Documents’ folder. The initial scan will pick up the minimum amount of data needed to display the presentations in PresentationMANAGER. If you have presentations saved outside of you’re ‘My Documents’ folder, click on the ‘Select Folders to Scan’ button to add folders. You can set the scan to ‘C:/’ and your entire hard drive will be scanned for all presentations. When the scan is finished, PresentationMANAGER will load into the ‘All’ Category and show you every presentation found in one window.

    How to Scan my Whole Computer.
    Go to the File menu at the top left corner and select Scan. Click the button to "Add Folders to Scan" and in the browse window that appears, choose the 'C:' and Hit OK. If you have mapped network drives or multiple drives on your computer, you can select these as well and add them to the scan. Once you have chosen the locations to scan, select a scan method of either Initial Scan or Full Scan. The Full scan is recommended because it will include all of the data from each presentation. This will make PresentationMANAGER run faster and turn on the Search bar. The full scan will take much longer to collect all of the data but you will only need to run it once.

    How to Organize Presentations.
    On the left side of PresentationMANAGER, Add categories to store the different groups of presentations such as Marketing, Sales, Business and Personal or split between ‘Work in Progress’ and ‘Finished’. When you have made your categories (you can change the names of your categories at any time), select the presentations either one at a time or drag the mouse to draw a rectangle over multiple presentations to select groups and then drag the selected presentations into a new category. You can also hold down the Ctrl key when selecting with the mouse to remember the previously selected items and then drag all of them to a category.



    Sorting Presentations
    A sort can be run on any category to display your presentations in different orders. You can sort by Presentation Name and by Date modified both ascending and descending. This is helpful if you want to immediately find your most recent presentations.

    How to Search within Presentations
    First, a full scan is required before the search feature can be used. If a full scan has not been run, you will be prompted to do so before searching. On the scan window, set the option for Full Scan and then Scan Now. Depending on the number of presentations you have, this could take a while to complete. When a full scan has been completed, you can type any word or phrase that would be found in any slides or speaker notes in your presentations. The scan results will display a list of presentations that match the search criteria. Double click on a presentation to view which slides in that presentation were found. The slides in the presentation that did not match will be dimmed out but still accessible.

    How to Build a New Presentation
    You can drag slides, groups of slides, or even entire presentations into the New Presentation window along the bottom of the window. Double click on a presentation to view the slides in that presentation and then either drag and drop the slides from the slide view to the new presentation view or double click on the slides to add them. You can hit the back button at the top to return to the category list and select a different presentation to grab slides for the new presentation.

    When you have added the slides you want, you can hit the ‘Expand’ button to maximize the New Presentation view. From here, you can shuffle the slides in the new presentation by dragging them around to reorder them the way you want them. If you decide that you do not want a slide that you added, right-click on it and remove it from the new presentation.

    Now you are ready to build your new presentation. All of the styling and formatting from each slide will remain when you build it. PresentationMANAGER will open a PowerPoint presentation and automatically apply each slide from the different presentations you selected in the order that you chose from the new presentation window. Make any editing changes you need and save your new presentation. When you save it, PresentationMANAGER will automatically add it as a new presentation back to the All category for you.



    What are the different features?

    Category Views
    There are two views available for looking at the presentations in a category. The thumbnail view which will show the first slide of every presentation as a thumbnail with options underneath each thumbnail. The second view is a text list of the presentations along with a large image to the left of the selected slide and the options located to the right side of the presentation. To change the view, click on the View Icon near the top right side of the window under the search bar.

    The options available are the same for both views. The first choice is the built in player. This launches the presentation into a new window that will allow you to load high-res images of the slides in your presentation in a compelling new way. By clicking the second icon or by double clicking on the presentation, you will be taken to slide view that shows you a thumbnail list of the slides in that presentation. A large image of each slide appears when you hover the mouse over the slide. The third icon opens the presentation in PowerPoint for quick editing.

    When you save your changes in PowerPoint, they will automatically be updated in PresentationMANAGER. The forth icon will launch the presentation in the PowerPoint Slideshow. The final icon (X) will remove the presentation from PresentationMANAGER. The presentation will still be saved on your computer but will no longer show up in this software for managing.

    Hover the mouse over the thumbnails of the slides to see the larger image to the left immediately swap to display that slide.

    2.Standard Thumbnail View
    See thumbnails of the slides in a presentation similar to the thumbnail view found in PowerPoint.

    3.Slide List View
    Similar to the Enlarge Thumbnail View but instead of thumbnails, you have text list of the slides in the presentation.


    PresentationManager Slide View

    Presentation Information
    From the Category view, you can hover the mouse over a presentation and a large image of the first slide will appear along with information about the presentation. This information can also be seen from the Slide views by clicking on the Information icon at the top of the page.

    Categories
    Add virtual categories to divide your presentation into meaningful groups. All categories will show up in alphabetical order on the left side of PresentationMANAGER. You can collapse the Category pane to widen the main window and see more presentations at a time by clicking or dragging the center of the divider between the Category view and the main view. Manipulating the categories will have no affect on where your presentations are actually saved on your computer.

    New Presentation Preview
    Drag single slides, groups of slides or even entire presentations down to the New Presentation Preview pane to begin building a new presentation using your existing materials. Use the Expand view to the right of the New Presentation Preview pane to maximize the size of the preview. Use the Zoom settings to increase the size of the slides in the Preview. Right-click on a slide in the preview and choose Cut or Copy then move the mouse over another slide and then right-click and choose paste to arange the slides in the desired order. Click Build New Presentation to load the slides into a new presentation in PowerPoint. By default, all of the different templates used from each presentation will be saved along with the slides from that presentation. In PowerPoint, you can set one template to all slides by using the Slide Design Menu and applying a template to all slides.To remove a single slide from the preview, right click on it and select remove. Use the Clear All Slides button to the right to remove all slides and start over.
